The Hotel module is closely integrated with the Booking module, allowing hotel reservations and booking reservation to work together seamlessly to streamline guest services and billing. This integration ensures that activities, such as spa treatments or event participation are linked to the hotel reservation and can be charged to their room folio.
To help you get started and clarify common scenarios, here are answers to some common questions about the hotel and booking modules:
If a customer already has booking module up and running and is adding the hotel module, how should you connect the two modules?
In the current setup, there is no standard feature to directly link an Activity Reservation (such as an event or treatments) to a new hotel reservation after it has been created.
Currently the standard process is:
- You create a group hotel reservation, which might have multiple hotel reservations under its umbrella.
- You can then add activities directly on the hotel reservation card (for example, spa/golf), which creates activity reservations on the Booking side, which are linked to the hotel reservation.
- These activities are automatically charged to the related room folio. If the Spa for example, then charges via POS, any additional charges to the activity reservation, those charges are automatically forwarded to the related hotel room folio.
- The Hotel Group reservation, also automatically creates a Booking Group reservation, where the user can also create activities (in bulk) which is related to the related guest reservation.
Note: There is not possible to link activity reservations to a new hotel reservation afterwards. Though there is a field on the reservation header that is called Hotel Reservation no., it would not be advised to populate that field afterwards, since then you already have the activities created and the synchronization process might be confused.
It is advised to invoice the event reservation separately. However, it is also possible to pull in the Booking event reservation to Payment on POS (using PAYRES POS command), and then finalize by charging to a Room reservation, where you later finalize through normal Hotel Reservation check-out/finalization.
